Description
The Associate Vice President for Events Management is adept at planning, organizing, and implementing events and projects within the organization. They proactively support officer welfare, ensure effective coordination among teams, and serve as a liaison between project directors, core team members, and the Vice President for Events, promoting smooth operations and alignment with organizational goals.
Roles and Responsibilities:
Oversees the organization’s internal events (those catering to the involvement and development of MISA’s members) and external events (those promoting the organization’s vision, mission, and objectives to the Ateneo community and other sectors).
Ensures each event's efficient planning and effective implementation align with the organization’s mission and vision.
Responsible for promoting the organization's advocacies through events, especially initiatives such as Collaboration Laboratory (CoLab).
Facilitates training sessions for third-level officers of the cluster to provide a foundation for event planning.
Conducts consultations, in collaboration with the Human Resources Cluster, during the planning phase as needed, and post-consultations with officers to maintain healthy working relationships.
Tracks the progress of each event through the Project Management System per the core team.
Ensures proper implementation of all event-based projects and activities according to the rules and guidelines set by the Office of Student Activities (OSA) and the Council of Organizations of the Ateneo–Manila (COA).
Acts as a liaison in core team meetings on behalf of the Events Cluster and promptly relays concerns from the core team to the Vice President for Events.
Assumes the position of Project Director, Programs Head, or Logistics Head if no applications are submitted for these positions.
Ensures timely and clear communication to the Events BETA, core team, members, and external stakeholders regarding rescheduling or cancellation of events due to natural or man-made disasters occurring before or during event dates.
Trains, oversees, deploys, and communicates with third-level officers of the sub-cluster, serving as a bridge between them and the Vice President for Events.
Supports the Vice President for Events by assisting in planning, implementing, and coordinating various cluster-led initiatives and activities.
Ensures the welfare of core team officers by identifying and addressing concerns related to workload distribution, project scheduling, and overall officer well-being.
Initiates and maintains regular consultations with the organization's OSA formator to seek guidance on matters related to event planning and implementation, core team management, and resolution of project-related concerns.
