Events

The Events Cluster spearheads in managing all event-based projects of the organization throughout its entire timeline of planning, execution, and handling of post-event matters. The goal of the cluster is to organize large-scale activities that promote the organization’s thrusts and cater to the entire organization community and alike. Members of this cluster will learn and be able to apply principles of project management that will aid them in their wide scope of work under the Events Cluster.

Project Directors

Description

  • The Project Director is responsible for completing the Project Proposal Form, overseeing the planning, execution, and post-event procedures, and communicating with the Events BETA of their respective projects.

Responsibilities:

  • Accomplishes the Project Proposal Form for the event.

  • In charge of leading and delegating tasks to the core team members.

  • Facilitates the planning and execution of the project.

  • Communicates with the Vice President for Events, the Associate Vice President for Events Management, and the concerned cluster representatives for project updates.

  • Oversees the filing of project proposal forms, budget reports, BETA presentation, and other relevant documents.

  • Conducts a SWOT analysis as a post-event processing session alongside the Operations Manager.

  • Accomplishes the event’s Project Summary alongside the Operations Manager.

Programs Heads

Description

  • The Programs Head is responsible for creating the script for the hosts, accomplishing the program flow of the event, and preparing any other relevant documents and materials of the program.  

Responsibilities:

  • In charge of the program flow of the event in coordination with the Project Director/s, Logistics, and Human Resource Project Officers (HRPO).

  • In charge of the contingency plan for the event in collaboration with Logistics.

  • In charge of the scripts for the hosts, ensuring alignment with the hosts and the theme of the event.

  • In charge of on-the-spot revisions and changes with the host script and slide deck during the event.

  • Coordinates with Creative Directors regarding the slide deck template appropriate for the theme of the event.

  • Coordinates with Marketing Officers regarding any sponsor logos to be included in the slide deck.

  • Coordinates with Marketing Officers regarding any sponsor acknowledgements to be included in the host script.

  • Coordinates with Logistics for needed program materials.

  • Conducts a dry run of the event in collaboration with the Logistics and hosts, assisted by HRPO.

Logistics Heads

Description

  • The Logistics Head is responsible for handling all requirements related to the venue, program materials, and food needs for the event. They oversee the collection, handling, and preparation of documentation and presentation materials for the event execution.

Responsibilities:

  • In charge of reserving the venue, ordering food and drinks, and acquiring materials needed for the event.

  • In charge of filing and approving documentation needed for the venue, food, and drinks, external guests/suppliers, etc.

  • Accomplishes the CFMO long/short form of the event.

  • Accomplishes the OFSQA requirements of the event.

  • Accomplishes the DSWS requirements of the event, if needed.

  • Accomplishes the CSMO requirements of the event, if needed.

  • Accomplishes the Rizal Library requirements of the event, if needed.

  • Accomplishes the OHS requirements of the event, if needed.

  • Presents and handles the slide deck used during the event.

  • Creates an Operation Schedule for the core team to be used on event day, ensuring alignment with the program flow created by Programs.

  • Facilitates the dry run for the event at least two weeks before the event.

  • Assists the Project Directors alongside Programs during the planning and execution of the project.
